Virtual Receptionist

We are looking for a Virtual Receptionist to answer phones at our growing mental health counseling practice. As a Virtual Receptionist, you will be the first point of contact for our company. Your primary responsibility will be to answer calls and process inquiries from prospective new clients. You will discuss our services with prospective clients, take appropriate information for insurance verification, and schedule the first session with our intake counselor. After completing the inquiry call you will verify insurance, enter data into our records system, and follow up with the client and intake counselor to facilitate an introduction. You should be able to deal with emergencies in a timely and effective manner. Empathy and good communication skills are essential for this position. Hours are Monday through Friday, 9am to 3pm.

Responsibilities

  • Answer, screen and forward incoming phone calls
  • Provide basic and accurate information about the practice
  • Create a professional and compassionate first impression for distressed clients seeking counseling
  • Match new clients with appropriate counselor (or refer out) utilizing our phone screening procedure
  • Collaborate with assistant director to provide a warm transition for client through the intake process
  • Contact new client's insurance company to verify benefits
  • Create new client records in our Electronic Health Records (EHR) system
  • Update calendars and schedule meetings
  • Maintain strict HIPAA-compliance with all client information

Skills

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Professional, positive attitude
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks

Our team (4 clinicians, 1 marketing guru, a dog, a rabbit, and a school of fish) uses cognitive behavioral therapy, person-centered therapy, walk & talk therapy, animal-assisted therapy, and other creative therapies to help our clients manage stress and achieve their goals. Most clients are currently utilizing virtual counseling.

Job Type: Part-time

Pay: $12.00 - $15.00 per hour

Schedule:

  • Day shift
  • Monday to Friday
